Global Real Estate and Agricultural Investments maintain a portfolio invested in commercial real estate and agricultural mortgages, as well as real estate equities. Real Estate Investments sources and manages commercial real estate investments through seven regional field offices in the U.S. and International field offices in London, Tokyo, Mexico City and Santiago. The Office Manager would work for the Regional Director and staff of approximately 20 in San Francisco, CA. This is an excellent opportunity for an experienced Administrative Assistant who is dependable, responsible and demonstrates a positive work ethic in a professional, time sensitive corporate environment.
Key Responsibilities:
- Maintain calendars and schedule meetings for the Debt and Equity Team and Team Leaders in the office; Arrange travel plans, hotels, and car service; Prepare travel & entertainment reimbursement reports for the staff.
Meet and greet high-level clients and other visitors. - Maintain client contact information in Outlook and Salesforce; Handle critical/confidential issues and information.
- Collaborate with Marketing to create campaigns in Salesforce.
- Coordinate system, ordering equipment and access set-up for new employees.
- Participate in the planning and logistics for office outings and events; Coordinate various on-site and off-site meetings with internal and external parties.
- Handle/resolve escalated internal and external issues.
- Prepare office budgets, process accounts payable, manage external office vendor accounts, and maintain office supply inventory.
- Ability to fax documents, answer telephones and take detailed telephone messages; Create and maintain an accurate, organized, and efficient filing system and filing room.
- Support the Debt and Equity Teams with various tasks, system inputs and record maintenance.
Required:
- 5+ years of relevant experience required.

- Must be diplomatic, thorough, customer-service minded, detailed and professional with strong negotiation and problem resolution skills.

- Impeccable communication skills & phone etiquette.
Preferred:
- Highly PC proficient, including Microsoft Office, Word, Excel, PowerPoint.
- Experience in a large, corporate environment preferred.
